Why
Why Is Project Management So Important?
Technological advances affect everyone, both at home and
at work. If you are to survive in this climate you have to accept that the
concept of change is good and learn to use it rather than fight against it. you
need to determine what change means for you, how you will be affected and how
you can respond to manage change effectively, rather than let it manage you.
At work, change is often a subtle, accumulative process
which generates new work practices or habits and becomes accepted in normal
day-to-day operating activities. However, major change can create a significant
disturbance to this feeling of normality and cause adverse reactions in people.
Such changes are sometimes inevitable and it is only the pro-active management
of the change process which can minimize reactions and their consequences to
make a contribution to your organization's future success. I you are to be
effective in this pro-active mode you need to determine in advance the strategy
and tactics of introducing a major change. This is why you must plan, to avoid
difficulties or at least attempt to reduce them to a controllable level.
The process of Project Management offers you a dynamic way
to control change effectively in a structured manner.
There are some companies that have built
reputations for being able to consistently manage projects effectively.
However, the vast majority of organizations have a more spotty reputation.
Does your organization have any of the following characteristics?
-
Projects completed late,
over budget, or not meeting the functionality requirements of your client
-
Weak standard processes and
techniques used inconsistently by project managers
-
Project management is
reactive, and not seen as providing value
-
The time required to manage
projects proactively is not built into the work plan, since it is
considered 'overhead'
-
Projects
are 'successful' in spite of a lack of planning and project management,
though heavy stress and overtime work throughout the life cycle.
Project Management is the
planning and the management of that plan's implementation for a project. It
refers to the procedures and techniques used to assist in project planning,
analysis, scheduling and control.
Project Management is probably the most critical role through out a digital
project. Mostly because a vast amount of coordination has to be accomplished
between many competencies such as Client Services, Strategy, Design,
Programming, Engineering, and QA. Approximately 75% of all project failures are
due to poor project management in digital development. A crystal clear
understanding of project management is required for any company before it
embarks on any type of digital endeavor
Project Management is a critical role within a digital project that acts as the
‘glue’ in bringing different competencies together and coordinating the flow of
information between them. The Project Manager must be able to play several
functions including an advisor, a planner, a manager, and effective
communicators, a technologist, a politician, and a businessperson.
A Project Manager must be able to question and pinpoint potential obstacles in a
project at the beginning of the project. A project manager should be able to ask
and answer some of the basic questions listed below before every project:
· Who are the key stakeholders in the project?
· What are the expectations of these stakeholders from the project?
· What resource constraints are present?
· What is the opportunity cost of not pursuing this project?
· How many people will work on the project?
· What tasks are involved in building, testing, and implementing the proposed
project?
· What technology is available in building, testing, and implementing the
proposed project?
· What are the time constraints? Are they feasible?
These are some of the questions that project managers must address before any
project. The project manager basically has to build, test, and implement (to
bring to reality) ideas developed by strategists and senior management within
the company.
A project is a set of tasks planned to meet an objective.
Project management is the process of planning,
organizing, and managing tasks and resources to accomplish a well defined
objective, usually within constraints on time, resources, or cost.
Most projects share common activities, including breaking the project
into easily manageable tasks, scheduling the tasks, communicating with the
team, and tracking the tasks as work progresses. Generally, successfully
completing each task will result in a successful completion of the project.
All projects consist of three major phases:
- Create the project management plan,
- Track and manage the project,
- Ship the deliverables, release the resources
and close-out the project
As a rule, business projects have a significantly better chance of
success if they are implemented using a well defined project management
methodology. Depending on its size, a typical project will include some or
all of the following:
- a common vocabulary,
- teamwork,
- the project cycle,
- system requirements,
- preliminary design,
- detailed design,
- code and debug,
- test and pre-operations,
- operations and maintenance.
- project management elements,
- define scope,
- requirements,
- organising,
- project team,
- planning,
- opportunity and risk management,
- project control,
- visibility,
- status,
- corrective action,
- leadership.
"Project management is now used by many companies large and small to
increase the success rate of IT projects."

How
How Will This Impact On Your Business?
Typically all organizations
perform operations that are key to their existence. The execution of
these normal everyday activities tends to utilize most of the
organization’s resources. For many organizations, projects are a means
of responding to requests that cannot be addressed within the
organization’s normal operational limits.
